1. Full Refund Eligibility
Students are entitled to a full refund under the following conditions:
- Request submitted within 7 calendar days of initial enrollment
- No more than one class session attended
- Course materials have not been downloaded or accessed extensively
- No previous refund requests for the same student within 6 months
2. Prorated Refunds
Group Courses
For multi-session group courses:
- After 7 days: Refund based on remaining unattended sessions
- 10% administrative fee applies to prorated refunds
- No refunds available after 75% course completion
Private Tutoring Sessions
For one-on-one tutoring packages:
- Unused sessions can be refunded with 48-hour notice
- 15% administrative fee for session packages
- Individual sessions require 24-hour cancellation notice
3. Non-Refundable Items
The following are not eligible for refunds:
- Digital course materials after download
- Certification and assessment fees
- Technology platform access fees
- Custom course materials created for students
- Third-party software licenses or textbooks
4. Medical and Emergency Withdrawals
Special consideration for refunds due to:
- Documented medical conditions preventing course completion
- Family emergencies requiring immediate attention
- Military deployment or relocation within Canada
- Job loss or significant financial hardship
Documentation required for emergency withdrawals. Each case reviewed individually.
5. Instructor-Related Issues
If course quality is affected by instructor performance:
- Alternative instructor assignment when possible
- Course credit for future enrollment
- Full or partial refund if resolution not achievable
- Expedited review process within 5 business days
6. Technical Issues
For platform-related problems affecting learning:
- Free technical support and troubleshooting
- Course extension for lost time due to our technical issues
- Refund consideration if technical problems persist
7. Refund Process
How to Request a Refund
- Submit written request to refunds@linguaflow.ca
- Include student ID, course details, and reason for refund
- Provide supporting documentation if applicable
- Allow 7-10 business days for review
Refund Timeline
- Approved refunds processed within 10 business days
- Refunds issued to original payment method
- Bank processing may take additional 3-5 business days
- Email confirmation sent upon refund completion
8. Course Transfers
As an alternative to refunds, students may:
- Transfer to a different course level or language
- Postpone enrollment to a future start date
- Convert group course to private sessions (price adjustment applies)
- Receive course credit valid for 12 months
9. Payment Method Specific Policies
Credit Card Payments
Refunds returned to the same card used for original purchase. If card is expired or closed, alternative arrangements will be made.
Bank Transfers and Cheques
Refunds processed via electronic transfer to the account holder's registered Canadian bank account.
10. Dispute Resolution
If you're unsatisfied with a refund decision:
- Request review by Academic Director within 30 days
- Escalate to provincial consumer protection if needed
- Mediation services available through Canadian consumer agencies
